This Privacy Policy explains how hapicom Inc. (“we”, “us”, or “our”) handles personal information in connection with the services and websites we provide.

1. Personal Information

In this Policy, “personal information” has the meaning given to the term “personal information” in the Act on the Protection of Personal Information of Japan and refers to information about a living individual that can identify a specific individual by name, date of birth, address, telephone number, contact details, or other descriptions contained in such information, as well as data relating to appearance, fingerprints, or voiceprints, the insurer number on a health insurance card, and other information that can identify a specific individual by itself (personally identifiable information).

2. How We Collect Personal Information

When you contact us or register to use the services we provide, we may ask you to provide your email address and other personal information to the extent necessary to provide our services. We may also obtain from our partners (including, among others, information providers, advertisers, and advertising distributors) records of transactions and other information, including personal information about users, arising from transactions between users and such partners.

When you use our paid services and make a payment by credit card or other payment method, we obtain the information necessary for payment (including personal information such as your name and address, as well as information relating to your payment method) through payment systems provided by Stripe and other payment processors. We do not store credit card numbers on our own servers.

3. Purposes of Collecting and Using Personal Information

The purposes for which we collect and use personal information are as follows:

  • To provide and operate our services
  • To respond to inquiries from users (including identity verification)
  • To send emails about new features, updates, campaigns, and other information relating to services you are using, as well as information about other services we provide
  • To contact you as necessary for maintenance or important notices
  • To identify users who violate our terms of use or attempt to use our services for fraudulent or improper purposes, and to refuse their use of our services
  • To enable users to view, change, or delete their own registration information, and to view their use of our services
  • To bill users for fees in connection with paid services
  • For purposes incidental to any of the purposes above

4. Changes to Purposes of Use

We may change the purposes of use of personal information only if the changed purposes are reasonably recognized as being related to the purposes of use before the change.

If we change the purposes of use, we will notify users of the changed purposes in a manner prescribed by us, or announce them on this website.

5. Use of Google Analytics

To improve the quality of the websites we operate, we use Google Analytics provided by Google LLC. Google Analytics uses cookies to collect, record, and analyze information about visits to the websites we operate. 6. Sharing Personal Information with Third Parties

We will not provide personal information to any third party without the prior consent of the user, except in the following cases:

  • When required by laws and regulations
  • When it is necessary for the protection of a person’s life, body, or property, and it is difficult to obtain the consent of the individual
  • When it is particularly necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the consent of the individual
  • When it is necessary to cooperate with a national government body, a local government, or a person entrusted by such a body in performing work prescribed by laws and regulations, and obtaining the consent of the individual may impede the performance of such work

Notwithstanding the preceding paragraph, the following cases are not regarded as sharing personal information with a third party:

  • When we entrust the handling of personal information in whole or in part to a third party to the extent necessary to achieve the purposes of use
  • When personal information is provided as a result of a succession of business due to a merger or other reasons
  • When personal information is used jointly with a specific person and, in advance, users are notified of, or the users are placed in a situation where they can easily know, the items of personal information to be used jointly, the scope of the persons who will jointly use the personal information, the purposes for which they will use the personal information, and the name or title of the person responsible for managing the personal information

7. Disclosure of Personal Information

When we are requested by a user to disclose their personal information, we will disclose such information to the user without delay. However, we may decide not to disclose all or part of the information in any of the following cases, and if we decide not to disclose the information, we will notify the user of that decision without delay. A fee of 1,000 yen per request will be charged for disclosure of personal information.

  • When there is a risk of harm to the life, body, property, or other rights or interests of the user or a third party
  • When there is a risk of causing significant hindrance to the proper performance of our business
  • When it would result in a violation of laws or regulations

Notwithstanding the preceding paragraph, we will not, in principle, disclose information other than personal information, such as log information and attribute information.

8. Correction and Deletion of Personal Information

If a user finds that personal information we hold about them is incorrect, the user may request that we correct, add to, or delete the personal information in accordance with procedures prescribed by us.

If we determine that it is necessary to respond to such a request from a user, we will correct, add to, or delete the relevant personal information without delay.

If we have corrected, added to, or deleted personal information based on the preceding paragraph, or have decided not to do so, we will notify the user of such fact without delay.

9. Suspension and Deletion of Personal Information

If we are requested by a user to suspend the use of or delete their personal information on the grounds that such personal information is being handled beyond the scope of the purposes of use, or has been obtained by improper means, we will conduct the necessary investigation without delay.

If, based on the results of such investigation, we determine that it is necessary to respond to the request, we will suspend the use of or delete the relevant personal information without delay.

If we have suspended the use of or deleted personal information as described above, or have decided not to do so, we will notify the user of such fact without delay.

Notwithstanding the preceding two paragraphs, if suspending the use of or deleting personal information would involve a large amount of cost, or would otherwise be difficult to implement, and if alternative measures necessary to protect the rights and interests of the user can be taken, we will take such alternative measures.

10. Changes to this Privacy Policy

Except where otherwise provided by laws or regulations, or by this Policy, we may change the contents of this Policy without prior notice to users.

Unless otherwise specified by us, the revised Privacy Policy will take effect from the time it is posted on this website.
